Booking & Cancellation Policy

This Booking & Cancellation Policy explains the conditions related to reservations, deposits, payments, cancellations, and modifications for trekking, climbing, and expedition services offered through Crest Summit Treks.

By confirming a booking, participants agree to the terms described in this policy.

Booking Confirmation

A booking is considered confirmed once the participant receives written confirmation from Crest Summit Treks and pays the required deposit. Availability is not guaranteed until the deposit has been received.

Deposit

To secure a reservation, a deposit is required. The standard deposit is typically between 20% and 30% of the total trip price, depending on the type of trek or expedition.

The deposit allows us to secure permits, local services, accommodation, and logistical arrangements.

Deposits are generally non-refundable, except where stated otherwise.

Final Payment

The remaining balance must be paid before the start of the trip according to the payment schedule communicated during the booking process.

Failure to complete payment within the agreed timeframe may result in cancellation of the reservation.

Cancellation by the Participant

If a participant cancels the trip, the following conditions may apply:

More than 60 calendar days before departure: the deposit may be partially refundable depending on administrative costs and expenses already incurred.

Between 60 and 30 calendar days before departure: the deposit is non-refundable.

Less than 30 calendar days before departure: the full trip cost may be non-refundable due to commitments with local operators, permits, accommodation, and logistical arrangements.

Participants are strongly encouraged to obtain travel insurance that covers trip cancellation.

No-show

If a participant fails to arrive at the agreed meeting point or starting location of the trip without prior notice, it will be considered a voluntary cancellation and no refund will be issued.

Voluntary Withdrawal from the Trip

If a participant decides to leave the trek or expedition after the program has started for personal, physical, or other reasons, no refund will be provided for the unused portion of the trip.

Any additional costs related to the participant’s early departure will be the responsibility of the participant.

Cancellation by the Organizer

Crest Summit Treks reserves the right to cancel or modify a trip in circumstances including, but not limited to:

• Unsafe weather conditions
• Natural disasters
• Political instability
• Government restrictions
• Security concerns
• Insufficient number of participants

Participants may be offered an alternative trip, a change of dates, or a credit for a future trip.

Changes Requested by the Participant

If a participant wishes to modify their booking, Crest Summit Treks will make reasonable efforts to accommodate the request.

Changes may be subject to availability and additional costs.

Changes Due to Weather or Local Conditions

Mountain travel is strongly influenced by weather conditions, safety considerations, and local operational factors.

Itineraries may be adjusted, delayed, or modified for safety reasons. Such changes are considered a normal part of adventure travel and do not automatically entitle participants to refunds.

International Flights and Travel Delays

Participants are responsible for organizing their international travel.

Crest Summit Treks cannot be held responsible for missed international flights, travel delays, or additional costs resulting from weather conditions, transport disruptions, or itinerary adjustments during the trip.

Travel Insurance

Participants are strongly required to have travel insurance covering:

• Trip cancellation
• Medical treatment
• Emergency evacuation
• Mountain rescue
• Trekking or mountaineering at high altitude

Travel insurance must be arranged before departure.

Non-Recoverable Costs

Certain expeditions or trekking programs may involve logistical expenses that cannot be recovered once confirmed, such as permits, transportation reservations, or local service commitments.

These costs may not be refundable in the event of cancellation.

Acceptance of the Policy

By confirming a reservation with Crest Summit Treks, participants acknowledge that they have read, understood, and accepted this Booking & Cancellation Policy.
